Privacy Policy

PostFix Pro ("we", "us") is committed to protecting your privacy. This policy explains what personal information we collect, how we use it, and your rights regarding that information.
This policy complies with the Privacy Act 1988 (Cth) and the Australian Privacy Principles, and incorporates elements consistent with the General Data Protection Regulation (GDPR) for customers in the European Economic Area.
1. What We Collect
Information you provide
- Email address — provided at checkout, used to deliver your fix and send notifications
- Machine details — manufacturer, model, control type, CAM platform (entered in the fix request form)
- Problem description — the text you enter describing your issue
- Uploaded files — your post-processor file and any machine manual you choose to upload
Information collected automatically
- IP address — used for rate limiting only, not stored in customer records
- Basic request metadata — timestamps, file sizes, HTTP status codes (server logs)
Payment information
We do not store payment card details. All payment processing is handled by Stripe. We receive only a transaction confirmation and your email address from Stripe.
2. How We Use Your Information
- To process your fix request and deliver the corrected post-processor file
- To send transactional emails (request confirmation, fix delivery, support replies)
- To improve our AI pipeline using anonymized, de-identified fix patterns (no personal data)
- To prevent abuse and enforce rate limits
- To comply with legal obligations
We do not send marketing emails unless you have explicitly opted in. We do not sell or rent your information to any third party.
3. Third-Party Services
We use the following third-party services to operate PostFix Pro. Each has their own privacy policy.

Your uploaded files and problem description are transmitted to Anthropic's API for processing. Anthropic's usage policies prohibit use of API inputs to train models. See anthropic.com/privacy.
4. Data Retention
- Fix request data (including uploaded files and results) is retained for 90 days from the fix delivery date, then permanently deleted.
- Customers with active subscriptions may have data retained for the duration of their subscription plus 90 days.
- Anonymized fix patterns (no personal data, no file content) may be retained indefinitely for service improvement.
- Server access logs are retained for up to 30 days by our hosting provider (Vercel).
5. Cookies
PostFix Pro uses minimal cookies. We set only functional session cookies necessary for Stripe's checkout process. We do not use tracking cookies, analytics cookies, or third-party advertising cookies.
6. Your Rights
You have the right to:
- Access — request a copy of the personal information we hold about you
- Correction — request correction of inaccurate information
- Deletion — request deletion of your data (subject to legal retention requirements)
- Portability — request your data in a machine-readable format (GDPR customers)
- Objection — object to processing of your data for improvement purposes
To exercise any of these rights, email privacy@cncpostfix.ai with your request ID. We will respond within 30 days.
7. Security
All data is encrypted in transit (TLS 1.2+) and at rest. Access to customer data is restricted to automated systems processing your request. We do not have employees with routine access to customer files.
8. Changes to This Policy
We may update this policy from time to time. Material changes will be notified by email to active subscribers. The "Last updated" date at the top of this page reflects the most recent revision.
